Whitehorse Pioneers Football & Netball Club Inc is committed to protecting the privacy of its members, players, sponsors, officials and guests. This policy outlines the types of personal information we may collect, how we use it.
We always seek to comply with personal information privacy statutes, anti-spam legislation and consumer protection laws.
By joining or sponsoring our club, or by purchasing goods or using our services, you accept the terms of this Privacy Policy and consent to our collection, use, disclosure and retention of your information as described below.
Collection and Use of Information
The type of information we collect and how we use it depends on your relationship(s) with the Club. Our philosophy is to collect the minimum amount of information required to run a community-based football and netball club, and to always respect the data security and privacy concerns of our members and guests. When you have multple relationships with the Club then the information we collect will reflect the combination of those relationships.
As a Member of the Club:
When you join the club as a Player, Season Member or Sponsor, we will collect sufficient personal information to identify you in our Register of Membership: Specifically, your name, phone number and email address. These details are used to:
- Meet our obligations under the Victorian Incorporations Act and the Club’s Rules of Incorporation.
- Keep you informed of Club events and promotions via emailed newsletters and social media posts, and to invite you to renew your membership for future seasons. When joining the Club you will be automatically enrolled to receive these communications but may opt out by following the unsubscribe link in the emails, or by emailing your request to the club.
As a Player, Coach or other Official with the Club:
Our club is affiliated with the Eastern Football Netball League Inc. When you register or apply to play, coach or officiate for our club it is necessary that you supply us with sufficient information to enable us to process your application for clearance to participate in the League’s competitions, and to register you as a member of the League.
The information we collect from you is the information set out on the relevant League registration forms, which includes, for example, your name, email, phone, address, date of birth, gender, emergency contacts, qualifications and playing history.
Your name and playing history will be publicly visible. As an official your email and phone number may also be published. Other details provided will only be used by the Club and League to administer our sports and for your health and safety.

As any purchaser of goods or services from the Club:
When you purchase items from the Club with a debit or credit card, or mobile payment platform, our Service Provider will collect information about when and where the transaction occurred, a description of the items purchased, the payment amounts, and the cards or devices and payment methods used to complete the transactions.
If you request a digital receipt, or when the transaction occurs online, or involves the purchase of tickets or personalised merchandise then your name, your email and/or phone number will also be captured.
The Club will use the information collected to validate the transaction via our Service Provider and to deliver the goods or services purchased.
If you provided your email we may add you to our mailing list for similar Club events, products and promotions, but you may opt out by following the unsubscribe link in the emails, or by emailing your request to the club.

Your Rights

To ensure this policy remains relevant to club operations and reflects community expectations the policy will be reviewed annually.
